Shyfter

The PeoplePay payroll export sends the hours, breaks and overtime validated in Shyfter to PeoplePay in one monthly file, in the format your payroll office expects. You close the month in a few clicks and your team gets pay slips that match the hours they actually worked.

For a small business, the end of the month often means chasing timesheets, checking messages about swapped shifts and typing everything into an email for the payroll office. This page explains how Shyfter and PeoplePay work together and how to set up the export so that routine becomes simple.

What PeoplePay is and who it serves

PeoplePay is a Belgian social secretariat. In Belgium, the social secretariat is the payroll office that calculates pay and handles the employer's social obligations. PeoplePay works with small and mid-sized companies in Belgium.

Shyfter is the workforce management software for shift-based teams, founded in Belgium in 2019. It brings together scheduling, time tracking and payroll preparation, and it sends your payroll office the data it needs.

Why connect your hours to PeoplePay

In a small team, everybody wears several hats. The manager who plans the shifts is often the one who prepares payroll, late at night, after closing. That is exactly when an overtime hour is missed or a break is counted twice.

Connecting Shyfter to PeoplePay changes the routine:

  • the schedule and the time clock record the hours as they happen;
  • the manager validates breaks and overtime during the month, not all at once;
  • the export is generated in the format PeoplePay expects;
  • a copy of what was sent stays in Shyfter.

Fewer errors upstream means fewer corrected pay slips downstream, and fewer awkward conversations with employees about their pay.

How the PeoplePay payroll export works

Data flows from Shyfter to PeoplePay, once a month.

  1. Validation. Hours, breaks and overtime are validated in Shyfter.
  2. Export. At the end of the month, the export is generated from the closing screen in the PeoplePay format.
  3. Transfer. The file is sent to the payroll team or uploaded to the PeoplePay portal.
  4. Archive. A copy is kept in Shyfter for audits and reconciliation.

Hours that were never validated do not slip into the export by accident. What PeoplePay receives is what your managers approved.

A closing routine your managers can follow

The real gain is not only fewer errors. It is a routine that anyone on your team can follow. During the month, each manager validates the hours of their own shifts: arrival and departure times, breaks, overtime agreed with the employee. At the end of the month, the person in charge of payroll opens the closing screen, checks that every shift has been validated and generates the export.

If someone is on holiday, someone else can take over, because the steps are the same every month and the data lives in Shyfter, not in a personal spreadsheet. That continuity matters for small teams, where payroll often depends on one person.

Set up the PeoplePay export, step by step

  1. In Shyfter, open the account settings.
  2. Choose PeoplePay as your payroll provider.
  3. Map the employee numbers used by PeoplePay to your employees in Shyfter.
  4. Validate hours, breaks and overtime as the month goes on.
  5. At closing, generate the export and send or upload it to PeoplePay.

After the first month, the routine is the same every time: validate, generate, send. If a new employee joins, add their PeoplePay employee number in Shyfter before the next closing so their hours are exported with the rest of the team.

Use cases by industry

Bakeries and coffee shops

Bakeries and coffee shops start early and often rely on part-time staff and students. Hours recorded at the time clock and validated in Shyfter reach PeoplePay without a handwritten sheet in between.

Retail

In retail, opening hours stretch across the week and staff swap shifts regularly. Validated hours in Shyfter keep every swap in the export, so the pay slip reflects the real schedule.

Part of a complete payroll preparation

The PeoplePay export is the last step of payroll preparation in Shyfter. PeoplePay is one of many Belgian payroll partners Shyfter works with.
